Privacy Notice for Moodle users
Welcome to Age UK’s Moodle Learning Management System provided by our trusted service provider Synergy Learning. This privacy notice explains how your personal data is being used in the Moodle LMS.
Information you provide will be used by Age UK and our local Network Partners as Data Controllers.
The type of information we collect
When using Moodle LMS or registering on it, we collect and process the following information:
· personal identifiers contacts and characteristics including first name, last name, e-mail address,
· name of organisation, job role/areas of work, staff or volunteer your consent for a profile to be created.
We also have access to the following information from Moodle LMS:
· Courses assigned, booked and attended by each user, pass marks, results certificates for each user, activity in the system by each user such as content viewed, courses started and login records.
How we get to the personal information and why we have it:
All of the personal information we process is provided to us directly by users at the point of registering for an account we collect and process all the data for the following reasons:
· To create a profile so that you may access the system;
· To assign training courses relevant to your role and organisation;
· To report on courses assigned started and completed;
· To manage attendance on courses;
· To send reminders and updates about courses;
· To send pre and post course materials;
· To evidence compliance with Age UK’s Quality Assurance Framework and Wellbeing Framework requirements;
· To resolve login issues; user issues; and update account details;
· To measure the impact and reach of the training provided; to improve the system.
We may share this information across Age UK and as required with Network Partners to fulfil the obligations of the Network Agreement and the Shared Strategy. We also share your data with Synergy Learning as the service provider for the Moodle LMS.
Under the UK general data protection regulation, the lawful basis we rely on for processing this information are: your consent and contractual obligation, where you are a volunteer or staff member of an Age UK Partner through the Network Agreement. We also use legitimate interests to process your data for efficient onboarding new volunteers by assigning them relevant training and resources.
How we store your information:
Your information is securely stored and is only accessible by a limited number of persons who have access rights to the Moodle LMS. We keep all user accounts information for a period of six years in line with Age UK’s data retention policy, if after this time you are no longer an active user of the system, we will delete your accounts and all associated data.
